Abstract

Abstract. The community service project aims to design, develop, and implement a digital-based incoming and outgoing letter management application at MTs Almaarif 02 Singosari. The application is designed to address the weaknesses of the manual filing system currently in use, such as susceptibility to recording errors, difficulty in data retrieval, and the risk of physical document damage. Through a structured approach, the activities include the stages of planning, design, implementation, and evaluation. The implementation results show that the application has successfully improved the efficiency and effectiveness of administrative management, particularly in the administration department, with key features such as inputting incoming and outgoing letter data, as well as organized reports. During the implementation, participants actively engaged in discussions and provided constructive feedback for further application development. The evaluation indicates that the activity ran smoothly, although there were time limitations for in-depth discussions. This project not only provides a digital administrative solution for MTs Almaarif 02 Singosari but also opens opportunities for ongoing collaboration between educational institutions and implementing agencies. The results of this service are expected to serve as a model for the development of filing information systems for other educational institutions.


 


Abstrak. Pengabdian masyarakat ini bertujuan untuk merancang, mengembangkan, dan mengimplementasikan aplikasi pencatatan surat masuk dan keluar berbasis digital di MTs Almaarif 02 Singosari. Aplikasi ini dirancang untuk mengatasi kelemahan metode pengarsipan manual yang selama ini digunakan, seperti kerentanan terhadap kesalahan pencatatan, sulitnya pencarian data, dan risiko kerusakan fisik dokumen. Melalui pendekatan terstruktur, kegiatan ini mencakup tahap perencanaan, perancangan, implementasi, dan evaluasi. Hasil implementasi menunjukkan bahwa aplikasi mampu meningkatkan efisiensi dan efektivitas pengelolaan administrasi, terutama pada bagian Tata Usaha, dengan fitur-fitur utama seperti input data surat masuk dan keluar, serta laporan terorganisir. Selama pelaksanaan, peserta aktif dalam diskusi dan memberikan umpan balik yang konstruktif untuk pengembangan aplikasi lebih lanjut. Evaluasi menunjukkan bahwa kegiatan berjalan lancar, meski terdapat keterbatasan waktu untuk diskusi mendalam. Kegiatan ini tidak hanya memberikan solusi digitalisasi administrasi bagi MTs Almaarif 02 Singosari tetapi juga membuka peluang kerjasama berkelanjutan antara lembaga pendidikan dan institusi pelaksana. Hasil pengabdian diharapkan dapat menjadi model pengembangan sistem informasi pengarsipan bagi institusi pendidikan lainnya.
